Administrative Support

The position is an administrative support position. The key role is to relieve reception and to provide admin support to the Nikihk Housing 1st program. This position will relieve receptions during breaks, lunch hour, and be available to cover reception when they are not in for the day.

Reception duties

  • Relieve reception during breaks and lunch hour
  • In the event reception is sick or away on holidays provide full coverage
  • Duties include – answering phones, relaying messages, forwarding calls, providing detailed messages, faxing, photocopying

Nikihk Housing First

  • Greet and assist visitors
  • Maintain computer and manual filing systems
  • Answer and direct phone calls
  • Record staff messages and distribute to appropriate staff
  • Carry out administrative duties such as filing, typing, copying, scanning, etc.
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Schedule potential clients for prescreens (prescreens done twice per week)
  • Ensure that all payment authorizations are correct and submitted to accounting
  • Collect and submit receipts for payment authorizations
  • Submit petty cash reimbursements with receipts and mileage claims
  • Track credit card payments and maintain detailed records
  • Process payments for tenant insurance and ensure tenant insurance is up to date
  • Rent reconciliations – call landlords and track results. Distribute to staff (monthly basis)
  • Order office supplies
  • Record of meeting minutes and distribute to all staff
  • Collect and revise time sheets and submit to HR (once per month)
  • Prepare staff supervisions and review client files each month
  • Maintain staff contact lists
  • Manage and update the program calendar and virtual files
  • Conduct monthly staff file reviews, yearly client file audits, report to Team Lead
  • Maintain computer and manual filing systems
  • Provide training to new hires in admin processes, ETO, Life 360
  • Contact potential staff candidates and schedule interviews
  • Other administrative duties, responsibilities and projects as assigned

Qualifications and Skills

  • Effective writing and communication skills
  • Excellent computer skills
  • Excellent phone etiquette
  • Ability to work well as a team member
  • Ability to work on own/unsupervised
  • Graduated from a business admin program would be an asset
  • Must provide a Criminal Record Check with Vulnerable Sector and Intervention Record Check (within a 6-month period from date of completion).
  • Strong communication and interpersonal skills.

  • Monthly salary, based on working 34.50hrs per week.
