ADMINISTRATIVE ASSISTANT - KAHKIYAW
Job description
Kahkiyaw Ayisiyinowak ka Wahkotot– "All people, especially traditional peoples, are related" – Kahkiyaw is an indigenous-led and community-based program created to significantly improve the lives of Indigenous children, youth, and families in the Edmonton and Area Children and Family Services (CFS).
Kahkiyaw is being delivered in partnership by Bent Arrow Traditional Healing Society and Boyle Street Community Services, two community organizations with a long and successful history of serving Indigenous people in Edmonton. Working closely with CFS Central Neighbourhood Centre, and using the Collaborative Service Delivery model, the program will provide a continuum of services to improve the outcomes for Indigenous children and families in our city.
Responsibilities
- Onboarding new Kahkiyaw staff, including PPE’s first aids kits, signing out car seats, printing business cards,
- Inventory car seats
- Track required training and arrange/book staff training
- Payment Authorizations for expenditures/Manager VISA purchases
- Schedule outlook calendar invites for trainings and staff meetings and fridge clean up
- At times, take notes at staff meetings and distribute accordingly
- Updates staffing phones lists
- Compile statistical information (staff count, staff directory, board reports items)
- Assist staff with correspondence - typing, filing, photocopying, printing, updating staff mailboxes, bus tickets
- Track and order office supplies
- Distribute faxes, manage outgoing mail, forward e-mails
- Ensure brochures are printed and brochure board is full
- Answer telephone and inquiries from staff and clients, taking messages as required
- Recognition for staff anniversaries and birthdays
- Data entry as needed
- Other duties such as supporting the main Bent Arrow receptionist, the database administrator or other admin assistants
Qualification Requirements
- Office Administrative Certification diploma.
- Minimum 1 year experience as Office Administration.
- Advanced knowledge of MS Office – especially Office 365, Excel and Word documents.
- Typing and data entry speed of 50 wpm.
- Accurate and detailed oriented; able to meet assigned deadlines.
- Excellent communication and interpersonal skills, ability to work cooperatively and collaboratively in a fast-paced environment.
- Helpful and personable to clients and staff.
- Ability to multi-task, reliable, highly detailed and organized.
- Current (within 6 months) Criminal Record Check and Intervention Record Check.
Salary and Benefits
- Salary - $3593.98 - $3775.66 per month
- Paid sick and wellness days after 3 months’ probation (pro-rated)
- Working approximately 34.5 hours per week
